What we collect
When you request a translation or interpretation, we collect what you type into the form: your name, email address, phone number if you give it, your message, and the document you upload. If you email or WhatsApp directly, we hold that correspondence like any professional office does. This site does not run advertising trackers and does not sell or share your data for marketing.
Why we collect it
For exactly one purpose: to do the work. Your document is needed to assess, quote and produce the translation. Your contact details are needed to send you the quote, ask questions about the source document, and deliver the finished translation. Nothing is collected “for future use.”
Who sees your documents
The sworn translator handling your job. Documents are not passed to subcontractors and are never published. Like any modern service, this site runs on professional cloud infrastructure: secure hosting, file storage and email delivery providers process data on our behalf under their own confidentiality and security obligations. Where machine-assisted tooling is used to speed up a draft, it operates under the translator's control and the certified result is always reviewed, stamped and signed by the sworn translator personally.
How your files are protected
Uploads travel over an encrypted connection (HTTPS) and are kept in access-controlled private storage, not in an open inbox. Quote and delivery pages use private, hard-to-guess links issued only to you. Verification pages for certified documents deliberately show only the job reference, languages and date, never the contents of your document.
How long we keep things
Documents and correspondence are kept for as long as needed to complete the job and to meet the record-keeping expected of a sworn translator, whose certified work may need to be re-verified years later. If you want your documents deleted after delivery, ask, and unless a legal obligation says otherwise, they will be.
Your choices
You can ask what personal information we hold about you, ask for corrections, or ask for deletion at any time by writing to translation.rey@protonmail.com. You'll get an answer from the person who actually handles your documents, not a support queue.
Where this service is based
Rey Translation and Education Services operates from Windhoek, Namibia, and this policy is governed by Namibian law. If you are contacting us from abroad, your information is processed here in order to provide the service you requested.
